Web conferencing, IM, Skype, and ProjectSpaces

Web conferencing, IM, and Skype should be part of your team collaboration toolkit.

ProjectSpaces is primarily an asynchronous collaboration tool in that users log in on their own time to share, collaborate, and comment. Real-time collaboration tools such as IM, Skype, and Web conferencing - which allow people to interact in real time - should also be part of your collaboration toolkit. Rather than develop half-baked versions of these in ProjectSpaces (so we could say we do it all), we encourage our customers to use best-of-breed tools for real-time collaboration.

This could simply be adding IM handles and Skype user names to users' profiles.

In addition, as far as Web conferencing, these tools are constantly getting cheaper and better. We currently use ReadyTalk (we have used WebEx, Go To Meeting, Live Meeting, etc.) and it is really simple to use and performs well. It also allows both Mac and PC users to host meetings. Lastly, it does not require participants to download an application to join the meeting, which can get really disruptive when one or two people cannot join at the beginning of a Web conference and you must spend five to 10 minutes troubleshooting. Note we do not have any relationship with ReadyTalk other than using it a lot and having it work really well.

Whatever tool you use, consider adding Web conferencing access details to event details so that people know where to find them when the meeting starts.

Skype also has a very nice screen sharing plug-in
