Here are a few tricks you can use to make ProjectSpaces meet your specific needs.


Trick #1: Add links to top content on your homepage


You can edit the text which displays on your project’s homepage in the “Description / Welcome Text” of your project’s details. Copy links from top content within your project like important documents or folders, and paste them here. Using the WYSIWYG editor in this area it is easy to create these links, and it allows your users to quickly access those areas without having to navigate through ProjectSpaces.


Trick #2: Setup fake users with email aliases as their email address


You can create an email list within ProjectSpaces, and then create a user who has that email list as their email address. Even if there is no one accessing the account with this profile, this is smart to do because it allows your users to easily send notifications to a group of users by only having to select one person on the notification screen. So for example, you could setup an email list for your sales team and tie all your users on this team to that email list. Then create a user with a name like “Sales Team” and the email list as their email address. When your users are submitting notifications about content in your account to others, then can simply select this user to notify and not need to worry about selecting the whole sales team. Since the list of users is alphabetical, you could even add an underscore or some special character at the front of the name to make it display at the top of the list.


Trick #3: Make it easy for people to create their profile account


On the page to invite new users, you are provided a link you can send to others to invite them to access the account (see here for more information on this). Customize the login page and create links there using these so that users can easily signup for any projects/workspaces you have setup. Since as an administrator you need to approve them before they are actually admitted to access the account you can be sure un-wanted members will not be able to access the account.
